Procurement Process of PCB Assembly Order in Sparrow ERP

After your Sales quotation is accepted by the customer in Sparrow ERP, the next step is to confirm the order and start the procurement process in the form of Manufacturing order or Purchase orders, or both. You can start the procurement process in two different ways; It can be partial procurement in which you can start the component procurement process before sales quotation is accepted by the customer or you can start the full procurement process when a customer has accepted your sales quotation.

How can you start partial procurement?

To start partial procurement, you need to go into the Sales module’s Quotations page and then under the Quoted section select a particular quotation. After opening the quotation, click on the procurement button. On clicking the procurement button a dialog-box will open that will list all components we need to buy before starting the production process. The user can already start the procurement process by creating purchase inquiries. This can greatly help in reducing purchase time; because by the time the customer has placed the order we would already have quotations from our suppliers.

How can you start full procurement?

When the customer accepts the sales quotation you can start the full procurement process with confirmation of the order. The full procurement process includes the generation of internal Production order and Purchase inquiries. Both of these options are non-mandatory because it is possible that you may have stock of required items in inventory. As soon as you generate procurement for both, the system will create production order and purchase inquiries in the background; they will reflect on new tabs on the Sales Order. From here on, the purchasing department will take over the procurement process of components and the production department will take over the production part as soon as components arrived from suppliers.

How Automated Pricing Works in Sparrow ERP?

Sparrow ERP’s component sourcing tool Purchase Plan checks and collects price matrix and stock availability from multiple leading suppliers in a single click, does the analysis to select the best option for each component and presents in interactive report format. Automated Pricing helps manufacturers to access real-time information about component availability and pricing of the bill of material from suppliers. This features literally saves hours of work by eliminating need to manually send inquiries to suppliers and wait for quotation and then again compare manually.

Create a New Purchase plan

In Sparrow ERP purchasing module’s Purchase plans list, click on “Add new” button to create a New Purchase plan where you can name the list you would like to create then press Save.

Upload BoM (Bill of Material)

After saving a new purchase plan click on the import button to upload your bill of material. Here you can choose a file from your computer to upload, this will begin the upload process.

After selecting the file to upload, system will show a Preview of data from the file. Here you have to identify few mandatory fields (Identified by *) like MPN and Qty. If everything is OK, click on Import button to SAVE the data into Purchase plan.

After BoM data is loaded, It is ready for Analysis. Click on Plan Analysis button at bottom to begin analysis.

Select Preferences for BoM Analysis

On the analysis screen, click on Market availability button after selecting all the components to start automated analysis. This will being process of fetching data from multiple suppliers in the background.

Analysis preferences: Stock Priority, Lowest MOQ, and Lowest Price

Progress of analysis will be indicated for each component in the list. System will work in background to select best option as soon as data is received. Once the process is finished you can review the result and make necessary changes. You can override the suggested option by selecting other option. You can also input price and stock manually if certain components are analysed automatically (this happens mostly when supplier could not recognize the MPN or they do not have enough stock).

The Sparrow ERP CRM tool helps you acquire, engage, and retain your customers throughout the entire journey. You can also customize a CRM interface based on your business to meet the requirements of your organization.

To Create Email Campaign in Sparrow ERP simply follow these steps

Subscriber lists

In your Sparrow ERP account, navigate to the CRM > Subscriber lists.

In the upper right, click Add new > Enter Name for your Subscriber lists > at the bottom right Click Save.

Click Add subscribers to Add your recipients > Click Save.

Mail campaigns

The purpose of our Campaign Builder is to help you work on the various parts of your campaign as you choose and to review everything before you send.

Add From Name and From Email Address

To set your from name and from email address, follow these steps.

Click Admin tools section > Company.
Enter your Name and Email address > click Save.

Next, add Mail template for the campaign

Click Mail campaigns > Choose a mail template to start with or You can simply Create your own mail template.

To create your own customized mail template, In the upper right, click Add new.
After mail template selection click Save & Next.

Define Recipients

To choose your recipients, follow these steps.

In the Define Recipients drop-down menu, choose the Subscriber lists you want to send to.

Send Mail Campaign

Now regular email is ready to schedule or send.
Click Send newsletter if you are ready to send the Mail campaign to your subscribers.

For Scheduling Your Mail Campaign, follow these steps.

Click Schedule > In the dialog box choose date and time > Click Schedule In the dialog box.

Your Email campaign is on its way!
